External Journey Sharing allows you to directly involve your customers in their own success and hold them accountable during the journeys you track within ChurnZero.
You can share journeys using two methods: In-App Checklists and External Journey Reports. You can share a journey using either or both, and you can choose which journey steps are included in each. Use the links below to jump directly to the sharing method you want to learn about:
In-App Checklists
With In-App Checklists, you can share a list of journey steps for your customer to complete directly in their application. Checklists can either appear at the top of a customer's Success Center or in a separate checklist launch icon. You can set the look and feel of your launch icon on the Checklist Styles page. Checklists that are displayed on a Success Center will have their style settings set under the Success Center's settings.
To set up Checklist sharing:
- Edit an existing journey or start a new one. Go to the External Sharing tab of your Journey.
- Find the Enable checklist toggle and switch it to YES.
- This will open up new checklist creation fields.
- Fill out the fields to create your checklist:
- Checklist title: The title that appears at the top of the checklist

Displayed To: Choose which contacts have access to the checklist. You can select from:
- All Account Contacts: Shares the checklist with all contacts on the account.
- Contacts by Segment: Choose a contact segment to share the checklist with. Contacts who are on the account AND in that segment will have access to the checklist.

Checklist Location: Choose where you would like the checklist to appear. You can select from:

Success Center: The checklist appears at the top of a customer's Success Center.
NOTE: If the contact the checklist is shared to does not qualify for a Success Center, the checklist will appear via the Launch Icon. - Launch Icon: The checklist is accessible from a Checklist icon within the application. Locations for the icon can be set on the Checklist Styles page.

Success Center: The checklist appears at the top of a customer's Success Center.
- Display milestone names: Choose whether to show the names of your milestones on the checklist.
- Checklist remains visible after: Choose how long a completed checklist remains in the Success Center after it's completed.
- Complete Message: Write a message that will appear at the top of the checklist when it's completed. (ex: "Congrats! Your checklist is complete.")
External Journey Reports
External reports allow you to safely share a journey report outside of ChurnZero. We refer to the people who have access to these reports as "collaborators." They can access the report through a shared link, which requires a one-time password.
To set up external report sharing:
- Go to the External Sharing tab of your journey.
- Find the Enable external report toggle and switch it to YES.
- More fields appear below the toggle. Fill these fields out to configure your report:
- External report title: The title that appears at the top of the shared report.
- Pretty name for journey: The title that appears in the externally shared report. Your journey name may be confusing to customers, particularly if the name includes internal jargon. This field allows you to choose a different name that will make more sense to the customer you're sharing with.

External version created:
- Manually by a ChurnZero user: A ChurnZero user must purposefully generate the report for an account and invite collaborators manually.

Automatically when an Account enters the Journey: When an account enters the journey, the external report is automatically created. This opens further configuration options:

Contact segments: Controls which contact(s) will be invited to be collaborators when the external report generates.
- If there are no contacts from the account in the selected segment(s) at the time of report creation, no invites will be sent.
- Access is not granted or removed as contacts enter or exit the selected segment(s). Ongoing updates to collaborators need to be made manually.

Contact access: Controls how contacts can access the report.
- View: Gives the contact read-only access.
- Collaborate: The contact can view or be assigned to tasks and achievements. The contact can also edit the status or change the assigned collaborators.
- Collaborate and Manage: The contact has all of the abilities above AND can manage who else can be added as collaborators.
- Send invite as: Choose the sender for the automated invite email. You can send from a specific user account or from a team member role (ex: Owner).
- Invite subject: Enter the message that will appear in the subject line of the automated invite email.
- Invite message: Draft the message you want to send along with the invite.

Contact segments: Controls which contact(s) will be invited to be collaborators when the external report generates.

External version active until: Allows you to decide how and when a report is deactivated.
- Manually deactivated by a ChurnZero user: A ChurnZero user must manually deactivate the report.
- Amount of time after Journey completed or failed: Automatically deactivates the external report after a set amount of time.
- Logo: Allows you to upload a logo or image to your journey report. This will typically be a corporate brand or logo. If you choose to upload a logo, you can choose any .jpeg, .png, .gif file type with a maximum size of 10mb.
Including Tasks and Achievements
You can control which tasks and achievements you want to include on the Checklist or in external reports. For more information on creating tasks and achievements in Journeys, see Add Steps to Journey Milestones.
To set up task and achievement sharing:
- Create or edit a task/achievement. In the editor window, click on the Advanced tab.
- Click on the External Sharing dropdown and make your selection.
- If the Journey is only shared by checklist, you'll see the following options:
- In-app checklist: The step is included on the checklist. Contacts who can access the checklist can check off the step.
- Not shared externally: The step is not shared externally.
- If the journey is shared by checklist and External Report, you'll see the following options:
- External report - read only: The step is included in the external report, but collaborators cannot access it to make changes to the status or assignment.

External report with collaborators: The step is included in the external report, and collaborators can edit the status or assign other collaborators to the step.
- If your report is shared automatically by contact segment, you can choose to either automatically or manually assign a step on the report.
- Collaborator Assigned When: Determines if a collaborator is manually or automatically assigned via contact segment.
- If your report is shared automatically by contact segment, you can choose to either automatically or manually assign a step on the report.
- In-app checklist: The step is included on the checklist. Contacts who have access to the checklist can check off the step as complete.
- External report with collaborators and in-app checklist: The step is included on the external report AND in the checklists. Collaborators can access the step to edit the status or assign other collaborators to the step. Contacts can check off the step as complete on the checklist.
- Not shared externally: The step is not shared externally.
- If the Journey is only shared by checklist, you'll see the following options:
Steps that are shared on the Checklist can also include a hyperlink associated with the step.
- Include Link in Step: Determines whether or not that step will be hyperlinked on the checklist.
- URL: If 'Include Link in Step' is set to YES, you can enter the URL here.
